ETR Associates, a private, non-profit, health education organization, is seeking a qualified person to join its Knowledge and Information Management Department as Project Coordinator I/Special Collections Librarian.
Education, Training and Research (ETR) Associates is a national center for publications, training, research and clearinghouse services in family life, and comprehensive health education, substance abuse prevention, HIV/AIDS prevention and tobacco use education and prevention. ETR’s publishing division publishes and distributes curricula, books and pamphlets in these areas for schools, clinics and youth-serving organizations across the country.
Overview
Reporting to the Associate Director, this position provides reference service and collection management oversight for service-learning and other national service topics for the National Service Resources and Training (NSRT) library, a project of the Corporation for National and Community Service. In this capacity, the librarian will collaborate with the other project librarian and support staff to: a) ensure an up-to-date and comprehensive resource collection; b) identify, abstract, index, and catalog appropriate materials, and oversee cataloging activities of support staff; c) oversee occasional interns; d) provide reference and referral services and literature searches; and e) make and implement recommendations for the systematic improvement of resource materials, including writing finding aids, marketing copy, and other print and web resources.
Responsibilities and Duties
- Coordinate the activities of the scope of work related to the service-learning library collection, online library resources, and library database.
- Provide ongoing training, direction, and supervision of interns and work-study students who may assist in resource and materials processing.
- Perform collection management duties including identifying appropriate new resources for the library, print publications, and the website; searching print and electronic book catalogs, bibliographies, journals, newsletters, and websites; conducting gap analysis evaluations; preservation; and weeding.
- Suggest materials to be purchased, ordered, or otherwise acquired, from a variety of sources, to ensure a comprehensive and contemporary collection.
- Conduct research for, and assist in the writing of, publications, finding aids, website content, and other written material as requested.
- Develop and maintain appropriate record-keeping systems and reports, with maximum utility for monitoring and directing library growth and reference services.
- Develop and maintain up-to-date knowledge of the national service field with special attention to the service-learning field.
- Provide reference and technical assistance in response to phone, email, or email list questions.
- Develop and maintain appropriate professional relationships, networks, and collaborations and actively seek opportunities for new relationships and collaborations.
- Catalog, abstract, index, and classify materials.
- Regularly monitor processes to ensure accuracy of library database records and the efficient functioning of library database searches.
- Maintain resource collection guidelines in collaboration with the other NSRT librarian, support staff, and team leader.
- Evaluate and improve current library database in conjunction with technology staff.
- Collaborate with the other NSRT librarian, support staff, and team leader to maintain a social media presence for the service-learning resource collection.
- Represent NSRT at conferences, develop booth exhibits, present at workshops, and develop workshop resource materials.
Other Responsibilities and Duties
- Contribute to the writing of the project’s progress reports, re-application proposals and new proposals as appropriate.
- Assist with evaluation/tracking activities as appropriate.
- Contribute ideas to strategic planning efforts as appropriate.
- May monitor library acquisitions budget. Understands how project costs fit into the larger budget.
- Participate in project, business unit and agency meetings as required.
Accountabilities
- Ensures the quality of the NSRT resource collection through efficient and ongoing attention to acquisition and management, abstracting, technical processing, cataloging, and classification according to established library standards.
- Responds to inquiries related to service-learning resources and databases accurately and in a timely and courteous manner.
- Remains current on important developments and knowledge of theory and practices related to service-learning and national service.
- Maintains effective monitoring systems to ensure that project deliverables are completed on schedule. Reports problems or issues with completing deliverables on schedule to supervisor in a timely manner.
- Maintains effective communication and positive relationships with project director(s) and other project team members and partners.
- Monitors library acquisitions budget and maintain project expenditures within budget parameters as required.
- Works independently to organize tasks as well as participate in cooperative project planning.
- Participates in project, business unit and agency meetings as required.
- Participates in and contributes ideas to business unit strategic planning and proposal development efforts as appropriate.
- Provides responsible and effective oversight of student workers, as assigned.
- Manages a diverse set of complex tasks.
- Maintains complete and accurate documentation of project activities.
- Completes tasks successfully and within specified deadlines; demonstrates strong time management skills.
- Contributes to improving office and/or project procedures with creative and practical ideas.
- Follows agency policies and procedures.
- Maintains confidentiality of sensitive information.
Qualifications
Required:
- Master’s degree in Library and/or Information Science from a program accredited by the American Library Association OR a graduate degree in another field plus a minimum of 3 years experience in a professional-level librarian position. Applicants with a Bachelor’s degree and enrolled in a MLS/MLIS program accredited by the American Library Association with the ability to obtain a MLS/MLIS by September 2010 may be considered, depending on experience.
- At least one-year experience in management/supervision.
- Experience working, interning, or volunteering in a library.
- Ability to select, catalog, abstract, index, and classify new acquisitions.
- Ability to conduct complex searches of relational and full-text databases using a variety of databases and Internet search engines.
- Ability to operate with high degree of independence and initiative in carrying out responsibilities, while also engaging in ongoing and effective teamwork with other staff members.
- Ability to balance completion of specialized tasks, both short and long-term, with the performance of routine duties.
- Willingness to work additional hours during specified periods as required.
- Experience with database management.
- Competency in computer software and other information technology, including internet, Microsoft Word, Excel and PowerPoint.
- Critical thinking and problem-solving abilities.
- Good organizational skills and attention to detail.
- Excellent writing and communication skills.
- Flexibility, ability to perform, prioritize, and/or supervise a variety of tasks, and ability to work well under pressure.
- Ability to travel as assigned.
- Valid California Driver's License and Proof of Insurance.
Preferred:
- Experience managing a special library, including collection development and acquisitions, evaluation and review of materials, public service, and marketing library services.
- Knowledge or experience related to service-learning, community service, volunteerism, and/or national service, and the relevant literature.
- Presentation skills and experience using social media tools.
Salary Range: Commensurate with experience. Full time. Grade level 5. Exempt.
