ETR is seeking a highly experienced and self-motivated Human Resources practitioner to perform professional level HR activities for a growing not-for-profit organization. The ideal candidate will be a generalist with solid experience in recruitment, on-boarding, training, HR administration and other HR programs. Under the supervision of the Human Resources Director, this position performs a variety of professional level HR activities with emphasis on recruitment and on-boarding. Other responsibilities include benefits administration in concert with Professional Employer Organization (PEO), HRIS and file management, training and administration support. This position will also identify, recommend and implement process improvement initiatives. Discretion in the use of confidential information is required at all times.
Essential duties and responsibilities include the following (other duties may also be assigned)
Takes responsibility for the recruitment process in compliance with ETR’s Affirmative Action Program.
Builds applicant sources by researching and contacting professional organizations, colleges and universities, community services, diversity listings, Internet sites, etc.
Determines applicant requirements by studying the job description and job qualifications.
Places recruitment job announcements, advertisements and job listings.
Provides guidance and support to hiring manager/team in the recruitment process, which includes, discussing job requirements and applicant qualifications with hiring managers/team; prescreening resumes, phone screening, scheduling interviews, checking references, conducting background checks and verifying educational degrees.
Maintains and updates recruitment files, tracks and updates EEO & Affirmative Action data and reports, processes and sends acknowledgement and TNT letters and EEO surveys.
Improves the organization’s competiveness by recommending new recruitment practices and scanning for compensation and benefits trends and offerings within ETR’s applicable labor market.
Coordinates the onboarding process with operations team, including the preparation of Orientation packets.
Conducts new employee orientations and HR related trainings, as requested.
Prepares and maintains employee files.
Enters and maintains employee information in HRIS.
Updates and maintains on annual basis Vehicle DMV and Insurance information.
Processes, audits and uploads monthly benefit deductions and Fidelity 401(k) files and contributions.
Conducts regular audits with Payroll to ensure accuracy of benefit deductions and employee changes.
Coordinates and provides benefit orientations and open enrollment meetings as needed.
Assists with annual 401k notices, 5500 Filing, Audit of 401(k) plan, and dissemination of benefit information.
Collaborates with HR Director and Operations in health and safety matters.
Coordinates Health & Safety Awareness month and other programs as directed.
Reviews and updates HR Intranet site regularly to ensure all HR information is accurate and up-to-date.
Provides administrative support and meeting and travel coordination for ETR Board of Directors as requested.
Updates job knowledge by participating in educational opportunities and professional development, trainings, reading professional publications and in networking.
Co-coordinates ETR social events as requested.
Provides HR support in the absence of HR Director.
Participates in department and company-wide meetings.
BA/BS degree or specialized training plus three years’ experience in Human Resources field or minimum of 5 solid years of Human Resources experience.
Two plus years’ experience in recruitment.
Experience in benefits administration, training development and facilitation a plus.
Excellent computer skills in Microsoft Office Suite, Outlook, HRIS databases, spreadsheets, PowerPoint and adept at learning other office technologies.
Excellent written and verbal communication skills.
Excellent organizational skills combined with attention to detail, accuracy, and the ability to complete assignments timely and independently.
Demonstrates initiative and stays current in the field.
Ability to identify and implement process improvement initiatives to ensure optimum delivery of services and support.
Ability to prioritize, multi-task and remain flexible.
Willingness to work additional hours during peak and deadline periods.
Highly Customer Service oriented.
Ability to maintain confidentiality.
Occasional travel in CA. Valid CA driver’s license, acceptable DMV record and proof of insurance required.
